Your very first step to organize a Science & Engineering Fair at your school: Meet with the Principal. Be sure s/he is on board and included in essential logistical decisions. S/he’ll help set you on a path to success.
Things to discuss with your principal
Their thoughts on logistics
- Best timing of the fair considering other school-wide events, testing, and student workload
- Rooms they suggest you use for the fair and for any events leading up to the fair
- Most effective ways to communicate with students, parents, and school staff
- Permissible locations to hang flyers and banners
Their commitment to safety oversight
- Serving as Health & Safety Officer during your fair in case of an emergency
- Sending you a copy of your school district’s “Special Events and Fire Safety Guide,” “Health & Safety Guide,” or equivalent
- Reviewing and approving your Fair Rules Checklist, particularly approving items students are allowed and not allowed to bring to school
Who you should meet with next
- Identify the number and dimensions of tables available for project displays
- Get a copy code for printing materials
- Reserve rooms for your event(s)
